 What does a wedding coordinator actually do?

The role and duties of a wedding coordinator will depend on the venue and on your plans, but generally, there are a few key areas where they’ll be invaluable.

  1. Confirming and reviewing key details

Firstly, your coordinator will confirm all the details you’ve planned and start creating a comprehensive timeline for your day. They’ll review your suppliers, confirm arrival times, and begin coordinating with everyone involved — from your caterers to your photographer to your entertainment.

This is when they’ll also visit your venue (if they’re not venue-based) to understand the layout and logistics. 2. Finalising the details

A couple of weeks before the big day, your coordinator will finalise your detailed timeline and share it with all your suppliers. They’ll confirm set-up times, final guest numbers, dietary requirements, and any last-minute changes. They’ll make sure everyone knows what they’re doing, and where they need to be.

Wedding coordinator vs wedding planner: What’s the difference?

It’s easy to confuse the terms ‘wedding coordinator’ and ‘wedding planner’, and many people use the two interchangeably. But they’re actually quite different roles with distinct responsibilities.

So what do wedding planners do that’s different?

A wedding planner is involved from the very beginning of your engagement, helping you choose your venue, select suppliers, design your theme, and make all the big decisions about your farm wedding. They’re your guide through the entire planning process, often working with you for 12-18 months before your wedding day.

A wedding coordinator, on the other hand, focuses primarily on bringing your plans to life. They take all your decisions and ensure they happen seamlessly on the day itself.
